Job summary
The Administrator role plays a key role in supporting the Learning Disability Partnership. The successful candidate will be part of an integrated team working alongside colleagues from Cambridgeshire County Council.
The ideal candidate will have administrative experience, a strong team ethic, a strong a sense of accountability, and the ability to work under considerable pressure.
This role is countywide and covers the Cambridgeshire area. You will work in a hybrid way with the expectation that you work in the office regularly. Please note for this role you will be required to travel independently around the county meeting strict time deadlines.
Main duties of the job
The Service Administrator provides an administration service which is open 9am to 5pm, Monday to Friday.
The post holder will be responsible for providing efficient, effective and timely administrative support for the Adult Business Support Team. Such support will include liaison with external referrers, Trust staff and team and colleagues, to ensure effective communication and administrative systems are maintained for the receipt and onward delivery of all referrals for all Divisions.
The Adult Business Support Team is the first point of contact for referrers, and excellent communication and customer service skills are required.

Job responsibilities

- Word processing of all forms of correspondence, reports and summaries that are required by the team including Audio typing.
- Undertake diary management for clinicians and/or managers, as required.
- Organise clinics and associated appointments for clinics, using appropriate brought forward systems to manage work.
- Organise team/ Care Treatment Review meetings, take, transcribe and distribute minutes accordingly as required.
- Provide operational support to colleagues and administration staff within the team, if required, as directed by Line Manager.
- Deal with staff and service user requests as and when required, and in accordance with Trust procedures.
- Inputting and updating service user information and service user/team activity on computerised information systems, creating service user notes where necessary and according to policy e.g. Mosaic and system One.
- Maintain filing in both paper and electronic records, ensuring that it is kept up to date at all times. In accordance with Trust procedures, track and receive notes in a timely manner.
- Ensure good customer service by providing a professional and effective telephone service, taking accurate messages and providing information and signposting as requested and appropriate.
- Undertake training of new staff as directed by Line Manager and/or other managers.
- Provide cover as directed by Line Manager for other members of the team in their absence and assist with their workloads as necessary and undertake such other duties as may be reasonably required commensurate with the grade of the post.
- To register referrals, maintain administration resulting from clinics, including appointment bookings and cancellations.
- To book interpreters for patients and meetings.
- To support with paperwork for recruitment for clinical staff as and when required.
- To provide operational support for clinical letters/correspondence using necessary computerised systems.

- Educated to GCE/GCSE or equivalent
- Good command of written English

- Experience of working in a busy and demanding office/customer facing environment
- Experience of planning and organising own workload and of staff within own span of control.
