We need an organised and energetic Executive Assistant and Office Manager to help our CEO. In this important job, you will make sure that the office runs smoothly and efficiently while also handling administrative responsibilities and supporting high-level strategic initiatives.

This is a full-time, permanent job in our Harrow office from 8:30 a.m. to 6:00 p.m., five days a week, with some work on evenings and weekends.

This job is the most important part of the company’s operations, hence it requires knowledge in Office Management, Executive Assistance, Personal Assistance, Project Coordination, and Human Resources. This person is in charge of making sure that daily operations run well, that executive support is efficient, that projects are tracked carefully, and that HR is strategically managed.

A big part of this job is Personal Assistance, which means you have to be hands-on in taking care of the CEO’s personal and business matters, such as scheduling, managing the household, planning travel, and handling finances. This is a full-time job, and the best candidate will be available for ad-hoc requests 24 hours a day, seven days a week. In addition to this, the job includes making sure that company-wide regulations are followed, directing HR activities, keeping the office running smoothly, completing high-level projects, and making sure that all areas are compliant.

The range of duties is very wide. It includes helping the board, coordinating legal and financial matters, overseeing vendors and staff, managing IT, enforcing compliance, and helping executives make decisions. Main Duties – Executive Assistant / Office Manager Responsibilities UK

Manager of the office:

Work with the right team to keep the office clean, organised, and working smoothly. This will include making sure that there are enough office supplies, such as pens and paper, as well as ordering things like water, drinks, and meals on a regular basis. As well as any office management and administration that needs to be done.

  • Welcome all visitors, make them feel at home, and make them comfortable.
  • Keep the office and conference room ready and looking good at all times.
  • Answer the phone in the office within three rings.
  • For all of your work items and places, keep a filing system on the OneDrive Server.
  • Take care of the phone system and talk to the Communications Provider.
  • Be in charge of any IT problems in the office.

  • Date stamp and scan all incoming and outgoing mail into the OneDrive system.
  • Make sure that the board gets and sends out weekly reports at the right times. This includes making spreadsheets, getting information from Asana, and following up with those who have tasks.
  • Make sure that office rules are always followed.
  • Make sure that the company’s health, safety, and compliance regulations are always followed.
  • Make sure that all maintenance is scheduled and that fire safety measures are up to date.
  • In charge of planning all maintenance on their own

Assistant to the Executive:

  • Taking care of directors’ calendars.
  • Help other board members with administrative responsibilities that come up and make appointments.
  • Taking care of all car insurance needs, such as MOTs, road tax, and services.
  • Take notes that are clear and correct in different meetings
  • Go to all of the Board and senior meetings.
  • Making agendas, taking notes at meetings, and writing down action items for follow-up
  • Making sure that internal and external communications work together
  • Handling private papers and data management
  • Taking care of bills, cost reports, and keeping track of the budget

Personal Assistant:

  • Taking care of Deepak and his family’s calendars, making appointments, and sending them reminders
  • Planning events and personal commitments
  • Handle and file all insurance claims
  • Handle and carry out any returns and refunds
  • Setting up car repairs, renewing insurance, and registering cars.
  • Making reservations for travel, lodging, and plans.
  • Must check in all visitors who are travelling and give them special information about their travel needs.
  • Taking care of trip visas, passports, and other paperwork
  • Being able to do extra things after work and on weekends.
  • Every day, keeping track of household personnel, vendors, and the maintenance schedule
  • Make sure to check in every day and keep an up-to-date list of tasks for The Broadwalk on Asana.
  • Making a weekly report to keep track of all the household workers, which includes summarising the results of the household tutors and using them to make predictions about the child’s future growth
  • Always look into possible vacations for certain times and make reservations at restaurants,
  • Help the Director with any office work
  • Buy any household items that the Directors ask you to buy online.
  • Always look at possible things for the CEO’s daughter to do.
  • Handling subscriptions, memberships, and renewals
  • Working with lawyers, accountants, and other professionals

Managing a project:

  • Send out meeting notes, action items, and take responsibility for following up on them.
  • Be in charge of the project management software Asana.
  • Make sure that all Actionable tasks are entered into the system, defined, and given to certain team members.
  • Set dates for tasks and make sure that the person responsible for them gets them done on time.
  • Keeping an eye on how the project is doing and making sure that deadlines are met
  • Check in with team members when their tasks are due soon.
  • Regular meetings and reports on the status
  • Keeping extensive records and documentation

People resources:

Set up HR processes and practices, and then keep them operating in the future. This includes all the documents that have to be filled out regularly, all the legal requirements for new hires and people who leave, and all the monthly and quarterly HR tasks, such as filling out KPIs and other important HR information.

Overseeing the group’s holiday and out-of-office system, which includes handling vacation requests and making sure the relevant supervisors approve them. The system needs to be set up so that team members can only request time off according to the regulations, such as making sure that two senior managers can’t be away at the same time.

  • All new hires and departures of personnel
  • Make contracts for new employees
  • Oversee and keep up with the steps for getting an overseas sponsorship licence.
  • Keep Connect Teams and all of the software that goes with it up to date. Use it to keep your team up to date and give them prizes.
  • Send out the monthly HR report.
  • Daily attendance tracker to be kept up and shared

We want someone who has the following skills and qualities:

Experience:

  • Experience as an Office Manager assisting senior management has been proven.
  • Having experience in property development or construction is a plus.

Skills:

  • Good at organising things and able to do more than one thing at a time, and set priorities.
  • Good at talking and writing.
  • You should be good at using Microsoft Office Suite, which includes Outlook, Word, PowerPoint, and Excel.
  • Knowledge of virtual meeting tools like Zoom and MS Teams.
