This is a key specialist role within the Trust’s Electronic Patient Record (EPR) Programme, one of the most significant digital transformation initiatives undertaken by the organisation. The EPR Data Migration Specialist will provide expert leadership and hands-on support to ensure the safe, accurate, and clinically robust migration of data from legacy systems into the new EPR and Archive solutions. Knowledge of mental health EPRs, specifically Carenotes, and working in a Mental Health setting is core to the role.

Working as part of the EPR Programme team and closely with clinical, operational, digital, information governance, and supplier colleagues, the post holder will lead and support all aspects of the data migration lifecycle. This includes defining migration scope, supporting data quality improvement, overseeing mapping and validation activities, coordinating testing and dress rehearsals, and ensuring data integrity and continuity at go-live and beyond.

Main duties of the job

The EPR Data Migration Specialist will contribute to the development and delivery of the Trust’s Data Migration Strategy, working in partnership with system suppliers and internal technical teams to ensure migration approaches are robust, auditable, and aligned with national standards, information governance requirements, and clinical safety expectations. The role will also support ongoing optimisation and issue resolution post-go-live, ensuring migrated data remains reliable, accessible, and fit for purpose across clinical, operational, and research use cases.

Person Specification

Qualifications

Essential

  • Degree-level qualification or equivalent experience in a relevant discipline such as education, informatics, healthcare, or digital systems.
  • Ability to evidence specialist knowledge acquired through substantial practical experience in complex digital or data-focused roles

Desirable

  • Training or certification related to clinical systems, EPR/PAS platforms
  • Project/change qualifications (e.g., PRINCE2/Agile/Change Management) are desirable.

Knowledge and Skills

Essential

  • Significant experience supporting or delivering data migration, data transformation, or large-scale system change involving multiple data sources and stakeholders.
  • In-depth knowledge and practical experience of the Carenotes EPR, including system configuration and underlying data architecture.
  • Experience of working collaboratively with a wide range of stakeholders, including clinical, operational, technical, and supplier colleagues in a Mental Health Trust.
  • Experience of analysing complex information and exercising professional judgement to support decision-making in high-risk, time-critical, or ambiguous situations.
  • Experience of contributing to formal governance, assurance, or reporting processes within a programme or project environment.
  • Demonstrable understanding of patient information systems and clinical workflows within a mental health provider or comparable healthcare environment.
  • Excellent verbal and written communication and presentation skills, with the ability to adapt messaging for diverse audiences, including clinicians, managers, and senior programme forums.
  • Ability to interpret and communicate highly complex, sensitive, or contentious information, overcoming barriers to understanding and resistance to change.
  • Ability to provide sound professional advice and assurance to stakeholders at all organisational levels.

Desirable

  • Experience of data migration within an NHS mental health Trust or similar large, complex public-sector organisation.
  • Experience of working with EPR suppliers
  • Demonstrable knowledge of mental health EPRs
  • Evidence of working sensitively and effectively across multiple sites and multidisciplinary teams.
  • Experience of providing specialist guidance, mentoring, or leadership to colleagues in a complex and changeable environment.
  • Advanced proficiency in standard Microsoft Office applications (Word, Excel, PowerPoint) to support analysis, reporting, and presentation of information.
